Refund processing operations

A refund request is not complete when someone presses “refund”.

Refund processing operations cover who authorises a refund, which submission route applies, what the customer is told, and how the transaction is recorded for review. Keep the decision, provider submission and customer receipt as separate stages. The platform instructions below are Square-specific; for another provider, follow its documented workflow.

Match the original record

Confirming that a refund belongs to the correct original transaction is covered in the sibling article on matching a refund to the original order and payment. Treat that confirmation as a prerequisite before authorising or submitting a refund.

Separate decision, submission and settlement

The decision sets what the customer is owed and why; submission records an instruction to the payment provider. Processing and cardholder receipt happen later, so a provider status does not mean funds are already visible in the customer's bank.

Tell the customer which stage the refund has reached: decision made, submitted to the provider, or still to be processed.

Give staff an approval threshold and record who authorised an exception. Keep the decision, reason, submission stage and any alternative resolution against the same case. If a refund fails or stalls, escalate through the provider's documented path.

Check access, eligibility and finality

Square allows account owners or team members with the transactions permission to issue refunds. Permissions can be set in Square Dashboard, so refund access can be assigned rather than assumed for every staff member.

Square allows refunds through Square Dashboard or its point of sale app within one year of the original transaction date. After that window, the refund must be issued outside Square. Square says there is no limit on the number of refunds, but refunds cannot be used to accept security deposits or pre-authorisation charges such as rental bonds.

A Square refund cannot be cancelled once issued. Confirm the correct transaction before proceeding, and treat the final confirmation as an irreversible action rather than a draft or temporary hold.

Use the payment type’s processing route

Square supports full, partial or itemised refunds, depending on the request. In the point of sale app, open Transactions, select the payment and tap Issue refund, then choose the amount and reason and tap Refund to submit. In Square Dashboard, open Transactions, select the payment, choose Issue Refund, then select Issue Refund again to confirm.

Square handles cash, cheque and other tender refunds differently: within one year, these can be recorded in Square to help balance the books, but Square does not process funds for them. It acts only as an organisational tool for these payment types, charges no fee for recording them and does not send email notifications for these refunds.

When a Square payment is refunded, its original processing fees are not returned. Square deducts the amount from the Square balance if funds are available there; otherwise, it charges the linked bank account.

Square payments made using Afterpay Card on Square hardware can receive a full or partial refund within one year. Submit it from the transaction history in the point of sale app or Square Dashboard, as for other Square payments.

Keep consumer guarantees in view

The Australian Consumer Law (ACL) provides automatic consumer guarantees for products bought from an Australian business, regardless of any other warranty. The remedy depends on the problem: for a major product problem, the consumer can reject it and choose a refund or replacement; for a minor problem, the store can choose repair, replacement or refund.

The ACCC says consumers are entitled to a solution of repair, replacement or refund when a product or service they buy does not meet one of the basic rights. The ACCC accepts reports about possible business conduct and uses them to inform its education, compliance and enforcement work, but it does not resolve individual disputes or give legal advice about a person's refund rights.

Reconcile by transaction, not by intuition

Use transaction records for operational oversight

Keep the decision, refund reason, authoriser for any exception and current submission stage against the same case, along with any alternative resolution. Square Dashboard lets users export transaction details as a CSV file for review.

Square's transaction filters include date, payment method, type, status, location, source, team member, risk level and card number. These can help staff narrow an operational review without relying on a sales summary alone.

Square distinguishes access to transaction records from reporting access. Account owners or team members with transaction permission can view completed sales for all team members, while reporting permissions determine access to sales summaries or detailed sales reporting.

In Square’s point of sale app, users with permission to view limited reporting can see a sales summary for the past 90 days. Sellers with permission for detailed sales reporting can view full historical data, comparison charts and trends in Square Dashboard; the app provides access only to the sales summary.
