Reducing delays between receipt and inspection
Find where returned items wait, separate exception queues and set an inspection target based on your operation.
To cut the wait between receiving a return and starting inspection, record each stage. Capture when the warehouse receives the parcel, matches its contents to a case, makes the items ready for inspection and starts the check. These events show which queue needs attention.
Separate arrival from readiness
A carrier delivery scan does not confirm that the warehouse has identified the items inside. At receipt, count parcels, match references and record the items found. Send complete cases to inspection with the product and case information needed for the check.
Put missing or conflicting information in an exception queue with a reason and an owner. Keep exceptions separate from work inspectors can start. Otherwise, time spent finding an order number is hidden inside the inspection queue. Record when specialist input or clarification is needed so those cases remain visible.
Set a useful internal target
Choose a target for the time from warehouse receipt to inspection start based on your staffing, product mix and arrival pattern. Different products may need different handling. Review the oldest cases as well as the total queue. Do not base a customer promise on a carrier scan alone.
A daily view can separate:
- parcels received but not matched;
- matched items waiting for inspection;
- checks paused for specialist input;
- inspected items waiting for a case or stock decision.
Count items as well as parcels: one parcel can contain several items with different next steps. Keep the post-inspection queue visible, but measure it separately from the receipt-to-start wait.

Fix the stage causing the wait
If matching is slow, improve return references and exception handling. If ready items wait at the bench, compare staffing and work instructions with arrival patterns. If specialist decisions stall cases, define the observations staff can record before referral. If inspected items accumulate, address the later decision or stock update rather than adding inspection capacity.
