Choosing return collection options for bulky products

Plan a bulky return collection by checking consumer-guarantee responsibilities, service limits, access, handling and proof of handover.

For a bulky return, weigh a packed parcel-network route against a seller-arranged physical pickup. Parcel Post and Parcel Send are named parcel routes; before instructing the customer, confirm with the carrier or seller what handling is included and the handover arrangements.

Establish the return reason

If the customer reports a product problem, keep collection planning separate from the consumer-guarantee decision. The ACCC sets out consumer-guarantee rights and responsibilities, but it does not resolve individual disputes or give legal advice on repair, replacement or refund rights.

For collection planning, establish where the item is and whether it is assembled, installed, upstairs, disconnected or boxed. These details help identify access and handling needs; they do not determine whether a fault exists or which remedy applies.

Check the physical route

Australia Post Parcel Post covers all addresses within Australia. For items over 5 kg up to 22 kg, its listed packaging options include other packaging; postage is based on weight or cubic weight, whichever is greater.

For 5 kg and under, Parcel Post offers prepaid satchels with postage based on size, or other packaging with postage based on weight or cubic weight.

The five prepaid satchel sizes are 280 x 215 mm, 355 x 225 mm, 390 x 270 mm, 405 x 315 mm and 510 x 440 mm; these dimensions apply to satchels, not to other packaging.

Weigh and measure the item in the state it will be handed over. A weight within a listed band does not establish that an awkward or oversized item will fit, so check the permitted dimensions for the chosen packaging and service before creating a label.

Parcel Send return creation is available to users with Australia Post and StarTrack accounts. In the workflow: click + New and choose Return; check the account-linked return destination; enter sender and parcel details; choose a shipping method; select how the label will be provided.

Any sender reference entered will be printed on the label. If you email the label to the sender, check the email address: there is no notification if delivery fails.

If the packed item is over 22 kg, does not fit the available packaging, or the customer cannot move it to the required handover point, ask the seller whether it can arrange a separate physical pickup. Before confirming that route, ask who books it, how to book, what lead time is available, and what item, address and access details must be supplied.

Provide the seller with the item's count, dimensions, weight, location and state, such as assembled, installed or boxed. Ask them to confirm pickup handling, including lifting, stairs, disconnection, dismantling or assembly, and where the item must be left; do not promise handling that has not been confirmed.

Confirm handover and handle exceptions

Give the collector or other handover contact the item count, measurements, address, access details, contact number and confirmed handling requirements. Tell the customer the agreed pickup window only after collection is confirmed, and specify which accessories and case reference should stay with the item.

For an arranged pickup, tell the customer where to leave the item and whether it must be boxed, dismantled or disconnected only after the seller confirms those instructions. Keep the booking reference and agreed service with the return case, and record evidence of collection.

If the collector does not arrive, refuses the item or cannot move it safely, pause the handover, contact the return owner to rebook and update the customer.
